Answer first: Paste or forward your meeting notes or transcript. Grok Bot pulls out decisions, owners and deadlines, then drafts a recap email and a short status update for each audience. You approve each draft before it goes anywhere.

Test status: not tested with real meeting data, because no calendar, mail or recorder is connected here. The draft-and-approve behavior is documented for every outgoing email and message.

Who it's for

Managers, consultants and project leads who leave meetings with follow-ups they never send.

Steps

  1. Get the notes: paste them, forward a transcript email to the Bot's address, or connect the app that stores them.
  2. Paste the prompt right after the meeting.
  3. Optional: make it a routine, for example "every weekday at 5:00 PM, process notes emailed to you today."

Copy-paste prompt

Here are my notes from <MEETING> with <ATTENDEES>: <PASTE NOTES/TRANSCRIPT>.
Extract: decisions, action items (owner + due date; mark "no owner" if unclear), open questions.
Draft: 1) a recap email to <ATTENDEE EMAILS> (under 200 words), 2) a 3-bullet status update for <MY MANAGER / #CHANNEL>.
Show both as drafts for me to approve. Don't send.

Expected result

A clear action list plus two drafts ready for your approval.

Gotchas

  • Messy transcripts lead to wrong owners. It should mark unclear items instead of guessing.
  • Check names and dates before approving, because the recap goes to real people.
  • Up to 50 recipients per email from the Bot's address.

FAQ

Can it add the tasks to my project tool? Only if that app is available as a connector on your account. Otherwise it keeps a list in chat or in a file.
